Setting up the Healthcode integration is essential prior to submitting any Healthcode claims.

Client Details
The information in the Client Profile is used to submit claims to Healthcode. When creating a Client Profile, please ensure you have entered the following information: First Name, Last Name, DOB and Sex.

Important!
Please complete all fields accurately as they are required by Healthcode in order to ensure a successful claim.
Setting up a Healthcode Case

Creating a new case or editing an existing case can be done from an appointment or from the Client Profile.
1. Navigate to the Client's Profile.
2. Click on Cases.
3. Select an Existing Case or Create a New Case.
4. Under Payers click Add Payer.
5. Select the correct Payer from the drop-down.
6. Add the Authorisation Number and Membership Number in the relevant fields.
7. Select the Payee from the drop-down.
8. Add in the ICD code from under the Details section in the Case. Click ICD Code search to look up the correct code or type in the Code directly.
Hot Tips
In Nookal we use ICD 10 codes, these map across to Healthcode who use ICD 9 automatically. You will need to contact Healthcode for any help with using the correct code.
9. Click Save Changes.
Submitting a Healthcode Claim at the Time of Invoicing
1. Click on Generate Invoice from the appointment screen.
2. Tick Add to Healthcode Queue and then Save Invoice.
3. In the pop-up box that opens fields from the Case will automatically populate if they have been completed previously. Check all fields are completed.
4. Tick the checkbox left to the Item(s) to be claimed and then click Submit Claim.
5. A green pop-up confirmation indicates a Successfully submitted claim.
Submitting Healthcode Claims in Bulk
Healthcode Claims can be submitted in bulk after saving the Invoice from the appointment screen.
1. Head to Manage.
2. Click Bulk Healthcode under Administration.
3. Select a different Date range, if relevant.
4. Filter by Provider or Location, if relevant.
5. Select the Invoices to claim by clicking the checkbox to the left of each invoice.
Important!
This is a good time to double-check the ICD codes, reducing the chances of unsuccessful claims.
6. Click Submit Claims.
Hot Tips
If the Invoice doesn't appear in the Bulk Healthcode section, check that the Case is linked to the invoice, and that a Payer is selected and a Payee is added or you will not be able to submit the claim

The submitted claims will no longer be visible from this Bulk Healthcode tool but you will be able to view and manage your claims using the Healthcode Report.
Checking the Status of Healthcode Claims
It's a good idea to...
Check the Healthcode report via Reports > Financials > Healthcode to track and manage Healthcode claims quickly and easily.
1. Find and open the Invoice.
2. Click the Healthcode Claims button.
3. Click on the Claims tab to see the Status of the claim.
4. Once in the Claims tab you will see a Status and a Status Message. For example, if the claim failed there will be a failure reason. Once you have corrected the issue, you can resubmit the claim.

When the claim has been Completed you will see a green status bar across the top of the invoice.
A blue status bar across the top of the invoice shows the claim is still Pending.
