Create a Patient Profile from the Calendar at the time of booking to save valuable time! This article explains how to quickly secure a booking for a new Patient, including the minimum requirements to create a Patient Profile at the time of the booking.
Creating a New Patient Profile
1. Go to the Calendar.
2. Click on an available slot in the appropriate Calendar column.
3. Enter the First Name and Last Name of the Patient in the appropriate fields.
It's a good idea to...
Double check that the Patient isn't already in the database to avoid creating a duplicate. Use the list to compare Patients with the same name and their Date of Birth.
4. If no existing Patient matches, click Create Patient.
5. Complete the First Name and Last Name.
6. Add a Phone Number (only one is required).
7. Ask the Patient if they consent to SMS/Emails Reminders and Marketing and tick the appropriate checkboxes. If the Patient is under 16, record who gave consent in the Parent/Guardian field.
Important!
If using SMS/Email reminders or sending the Patient form by Email or SMS, corresponding consent is required. Once consent is given, a Patient's Mobile Number and email address should be added.
8. Add other details such as the Address, DOB, GP as is appropriate (optional, can be added later).
9. Click Create Patient to reach the Create Appointment page.
Creating an Appointment for a New Patient
1. Select the Appointment Type from the list of existing Services. Start typing the Service name to filter the list.
2. Set up a case for this appointment. See Creating a Case for more details.
3. Click Create Appointment.
The appointment will be shown in the Calendar. There will be a full star next to the Patient's Name indicating this is a New Patient.
Hot Tips
We recommend using the Patient Form to get Patients to complete additional information. This will then be added directly to their Profiles before their first appointment. See Using the Patient Form for more details.
